Privacy for coach-led athlete feedback

Vanta is not available for self-service use by children under 13. Athletes ages 13–17 may participate only through the supported guardian and authorized coach or program workflow.

Coaches and program administrators must have authority to create athlete seats, submit footage, and make feedback available to athletes. Schools should use Vanta with the permissions and agreements required for student records.

We collect account details such as names, emails, program information, age-band attestations, optional guardian contact for minors, role and athlete-seat relationships, and support messages.

We also collect rep captures, uploaded video or audio, analysis results, review notes, optional music metadata, and limited product telemetry needed to operate and secure the service. Athlete media is stored privately and accessed through short-lived signed URLs.

We use submitted information to onboard coaches, manage athlete seats, deliver movement breakdowns, support human coach review, troubleshoot the service, prevent misuse, and improve scoring reliability and correction clarity.

Vanta does not sell personal information or use athlete data for cross-context behavioral advertising. Aggregated or de-identified product analytics are scrubbed to avoid emails, raw video URLs, and other direct identifiers.

Coach accounts can access athlete data associated with their team or invited athlete seats. Athletes can access their own captures and feedback. Inviting an athlete does not make a profile or video public.

Infrastructure and product service providers may process data on our behalf under contractual obligations. Billing providers receive payment data only when live checkout is enabled.

Real-athlete reporting to Athlete Houze, NIL Roster, or other third parties is disabled unless a future athlete-specific linking and consent flow is expressly enabled. Synthetic canary events are kept separate from real-athlete records.

Operational retention targets are documented internally; exact legal retention periods may vary by jurisdiction and account type. Beta data may be deleted when no longer needed or when a valid request is completed.

We use access controls and reasonable safeguards, but no system is completely secure. Do not upload medical records, government identifiers, or unrelated sensitive information.
